Main Tasks & Responsibilities:
- Reception & Front-of-House Management: Be the friendly face of our office- Welcoming visitors, managing phone and email enquiries, coordinating calendars, handling mail, liaising with couriers, and ensuring all office, field gear, and PPE supplies are well-stocked.
- Marketing & Events Support: Assist with internal and external marketing initiatives, social media content, website updates, and promotional materials. Support the planning and execution of company events, workshops, and client engagement activities, ensuring seamless organisation and a positive experience for attendees.
- Facilities & Workplace Support: Assist with onsite facilities management, including scheduling routine services (e.g., fire and safety equipment checks), coordinating staff training courses, and supporting workplace health and safety (WHS) initiatives.
- General Administration & Business Teams Support: Provide administrative support across our various business teams, including monitoring company inboxes, client and supplier portal updates, staff professional development and training coordination, general ad-hoc tasks such as stationery and supplies ordering, scanning, photocopying, record keeping/data entry, and assisting with reviewing and updating company processes, SOPs, and assisting with Health, Safety, Environment & Quality (HSEQ) Integrated Management System updates and related tasks.
- IT Coordination: Work with our IT provider to log support tickets, coordinate hardware needs, and ensure smooth day-to-day technology operations.

Required Qualifications, Job Requirements and Experience:
- Certificate III / IV in Business Administration or higher.
- A minimum of 2 – 3 years’ proven experience in office administration, including roles such as Administrative Assistant, Events & Marketing Assistant, Receptionist or similar administrative support positions; preferably in a Consultancy or Professional Services Environment.
- Experience in and knowledge of; Workplace Health, Safety, Quality & Environment (HSEQ) and/or Integrated Management Systems (IMS).
- Intermediate Microsoft Office skills; in Word, PowerPoint, Excel & Outlook Mail systems.
- Current CPR & First Aid Certificate (preferable)
- Driver’s License
